  • Thank you for being part of the inaugural year of SAND IN MY BOOTS! 

    Please fill out the following form for your Arrival transportation request. EACH PASSENGER MUST SUBMIT A REQUEST, AS EACH ENTRY IS FOR ONE SINGLE PASSENGER. You CANNOT submit one entry on behalf of multiple people, even if your travel itinerary is the same. 


    INSTRUCTIONS & POLICIES

    *****IF YOU ARE SUBMITTING THIS FORM AND ARRIVING WITHIN 48 HOURS FROM WHEN YOU ARE SUBMITTING YOU MUST CALL ‪THE STAFF TRANSPORTATION OFFICE FOR APPROVAL********

     
    DATES    

    General Staff Transportation will be available from SUNDAY, MAY 11 -  WEDNESDAY, MAY 21, 2025

    •    DEADLINE TO SUBMIT YOUR ARRIVAL REQUEST IS SATURDAY, MAY 3 (though sooner is appreciated)

    •    If you have changes to your itinerary, you can submit a change through this form until the deadline. 

    •    If you have a request after the deadline, you will have to contact the staff transportation team directly via email & you may have to wait at the airport for an extended period of time in order to accommodate your request.

     
    LOCATIONS    

    Staff Transportation will be available from Pensacola International Airport (PNS) To Site and to APPROVED Festival Hotels & AirBnBs (within an 8 mile radius). 

    •    Pensacola International Airport (PNS) is approx. 90 mins to site. 

    •    Staff Transportation will NOT be provided to/from other other locations without prior approval.

     
    GUIDELINES    

    Please keep the following in mind:  

    •    Do NOT share the Staff Transportation Link with staff unless you have been instructed to do so. Any Staff who request transportation that are not approved will not be accommodated.

    •    Any changes to your submitted requests must be made Forty-Eight  (48) hours prior to your confirmed pick-up time including itinerary changes, address changes, additional baggage, etc.;  

    •    Please schedule your arrival into PNS Airport between 7:00AM – 10:00 PM 

    •    If you are in jeopardy of a flight cancellation, call us ASAP.  We will do our best to accommodate your unexpected schedule changes.

    •    Staff Transportation Drivers are on a tight schedule and are NOT permitted to make any additional stops. If you would like to request a stop, please email your request prior to your confirmed pick-up. We will do our best to accommodate reasonable requests.


    CONFIRMATIONS    

    Staff Airport Transportation Confirmations will be sent out via email at least twenty four (24) hours prior to your scheduled pick-up. 

    •    Confirmations will include specific pick up locations and instructions. 

    •    Upon receiving your confirmation, please review your confirmation carefully and respond immediately with any changes, updates, or discrepancies. 

    •    For urgent updates, please call the staff transportation number (number to be shared at a later date). 


    AIRPORT ARRIVALS    

    The Staff Transportation Driver will call/text you at the time of your scheduled PICK-UP TIME  (approximately 30 minutes past your estimated arrival time). You will contact the Driver AFTER you have your bags and are heading curbside. Look for a 12 or 15-Passenger Van or Minivan with a numbered sign in the front and rear passenger side windows . You will be driven straight to your lodging or to site.


    We try to schedule airport pick-ups efficiently, and therefore you may be grouped with other passengers arriving at similar times. There may be a wait time while we collect additional passengers; however we strive to keep the wait times acceptable. Please be patient as there may also be a stop prior to your drop-off.

    ⚠️ Important Arrival Time Notice: ⚠️
    The latest permitted arrival time is 11:30 PM on your travel day. If you’re arriving at midnight or later, kindly select 12:30 AM or beyond and ensure your "Flight Departure Date" remains on the day your flight departs.

    For example:
    If you’re traveling on Thursday afternoon and your arrival is 12:01 AM (Friday), you must keep your "Flight Departure Date" as Thursday.

    Please double-check and adjust your details carefully before submitting your request!
